Administrative Assistant/Receptionist

We are searching for a friendly, cheerful individual to provide the first positive impression of Dudnyk, whether on the phone or greeting clients and visitors. The individual will support the Agency and handle many of Dudnyk’s administrative responsibilities. The ideal candidate will be a self-motivated, energetic individual who is able to work efficiently in a fast-paced environment and meet the demands of a busy healthcare advertising Agency.

Reports To:     VP/Director, IT & Business Solutions

Job Responsibilities

  • Greet all visitors and prepare welcome signs when appropriate
  • Answer and direct telephone calls to the appropriate individual
  • Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Coordinate client events and entertainment
  • Schedule travel and coordinate travel arrangements
  • Order food for meetings, events as required
  • Monitor conference rooms daily to ensure that rooms are maintained, and that the appropriate parties have removed their meeting materials and items
  • Conduct orientation on front desk operations (distributing mail, sending/receiving FedEx packages, booking travel, ordering food, etc.)
  • Manage, order, distribute, and track spending on supplies and snacks
  • May assist in the coordination of changes to presentations, and preparation of leave behind materials
  • Assist cross-departmentally as requested

Desired Skills and Experience

  • Computer proficiency in Microsoft Office (MS Outlook, Word, Excel, PowerPoint)
  • Effective verbal and written communication skills
  • Ability to build strong relationships with team members
  • Strong attention to detail
  • Solid organizational skills
  • Demonstrated ability to juggle multiple priorities and “shift on the fly”
  • Ability to display a keen interest and enthusiasm for the position, company, and industry

Required Qualifications

  • Minimum Associates degree; Bachelor’s degree preferred
  • 1+ year administrative experience in an office environment
  • Experience in a professional services organization, advertising/creative agency ideal

The hours for this position are 8:30 am to 5:30 pm - Monday to Friday.

This is a non-exempt position.
