HR Assistant

Human Resources Assistant

Are you an organized, detail-oriented professional looking to gain experience in the field of HR? As the HR Assistant, you’ll gain exposure to a wide variety of HR tasks and projects in a small, collaborative department. You will be responsible for handling many different HR-related administrative tasks and will offer clerical support to the HR department and employees regarding human resources related activities, policies, processes, and procedures. This position reports to the HR Manager.

Job Responsibilities:

  • Use the HRIS/Benefit Administration system to manage employee personnel files, PTO (Paid Time Off) administration, and benefits information
  • Assist with benefits administration and monitoring including completing/confirming enrollments on carrier websites, preparing census spreadsheets, and working with Accounting Manager to follow up with carriers on billing/enrollment issues
  • Assist with benefits renewal Open Enrollment process including preparing and editing census and cost spreadsheets
  • Schedule interviews, employee training, new employee onboarding schedules, etc.
  • Catering and logistics/set up for HR-led meetings and new employee welcome breakfasts
  • Draft communications including new employee welcome emails, employee benefit training invitations, etc.
  • Handle paperwork for training grant reimbursement and other HR areas as requested
  • Provide excellent customer service when responding to employee inquiries
  • Collect I-9 documents from new hires
  • Respond to employment verification requests
  • Maintain HR files

  • Extremely strong attention to detail and organization skills
  • Strong interpersonal skills with ability to maintain utmost confidentiality and discretion
  • Analytical thinker who’s skilled with numbers and spreadsheet manipulation
  • Strong communications skills, both verbal and written
  • Demonstrated resourcefulness and problem-solving abilities
  • Tech-savvy with ability to learn new software (HRIS, etc.)
  • Has a positive, can-do attitude

Required Qualifications:

  • Associates degree or higher, with coursework emphasis in HR, business, psychology, or related discipline
  • 1-2 years administrative support experience required, with previous HR admin experience preferred
  • Strong knowledge of MS Excel; experience with Outlook, Word, and PowerPoint (a test may be administered)
