Operations Coordinator

We are seeking an Operations Coordinator to help the office run smoothly by handling a variety of operations and office-related tasks. The ideal candidate will be helpful, proactive, and able to juggle priorities in a fast-paced environment to meet the demands of a busy healthcare advertising agency. This position reports to the VP, Director of IT and Business Solutions.

Job Responsibilities

  • Using electronic ticketing system, handle all supplies requests
  • Manage inventory, spending, and ordering of office supplies, office equipment, and kitchen supplies/snacks
  • Stock and distribute supplies and snacks on a daily basis
  • Maintain contractual relationships with vendors, low-bid price assurance, and exercise discretion on bringing in new vendors
  • Serve as primary point of interface with building for all security and facility related needs including, but not limited to, security fob issuance and environmental issues reporting
  • Act as the vendor contact for all phone, cell phone, copier and printer-related support needs including procurement
  • Facilitate employee onboarding and offboarding by generating name tags, updating agency contact lists, and assisting with workspace set up and clean up
  • Gather monthly Technology department receipts and reconcile with credit card statement, finance tracking spreadsheets, and software
  • Schedule travel and coordinate travel arrangements
  • Distribute and assemble office furniture or equipment as needed
  • Run errands including purchasing office snacks, dropping off packages, and picking up supplies for company events
  • Coordinate company and client events and entertainment including set up and clean up
  • Assist with office maintenance including periodically cleaning out refrigerators
  • May travel to other regional offices as needed

Desired Skills and Experience

  • Computer proficiency in Microsoft Office (MS Outlook, Excel, Word, PowerPoint)
  • Affinity with numbers and software systems
  • Helpful manner with the ability to build strong relationships with team members
  • Demonstrated ability to juggle multiple priorities
  • Effective verbal and written communication skills
  • Strong attention to detail and organizational skills

Required Qualifications

  • Associates or Bachelor’s degree preferred
  • 1+ year operations or administrative experience in an office environment
  • Experience in a professional services organization preferred
  • Must have valid US Driver's License and a registered/insured car
  • Ability to lift up to 65 lbs
