Executive Assistant

We are seeking an Executive Assistant who will support our President and Leadership Team as well as handle various Front Desk responsibilities. The ideal candidate will be organized, proactive, detail-oriented, and able to work efficiently in a fast-paced environment to meet the demands of a busy healthcare advertising agency. This position reports to the President.

Job Responsibilities

  • Coordinate and book travel for President and Leadership Team; prepare detailed travel itineraries and agendas; compile documents for travel-related meetings
  • Coordinate and arrange meetings; prepare agendas and reserve/prep meeting facilities
  • Maintain President’s Outlook calendar
  • Complete expense reports for executives
  • Maintain receipts and documentation for expenses and reconcile with finance tracking spreadsheets and software
  • Coordinate client events and entertainment
  • Greet and welcome guests at the front desk
  • Answer and direct telephone calls to the appropriate individual
  • Coordinate the pick-up and delivery of express mail services for agency (FedEx, UPS, etc.)
  • Coordinate and monitor the progress of special projects
  • Conduct research, collect and analyze data to assist in the preparation of reports and documents
  • May assist in the coordination of changes to presentations, and preparation of leave behind materials
  • File and retrieve documents and reference materials

Desired Skills and Experience

  • Computer proficiency in Microsoft Office (MS Outlook, Excel, Word, PowerPoint)
  • Must be able to maintain confidential and sensitive information and materials with the utmost discretion
  • Excellent organizational skills with ability to multi-task and prioritize to meet short deadlines
  • Strong attention to detail and accuracy
  • Affinity with numbers and software systems
  • Effective and professional verbal and written communication skills
  • Provide superior customer service when interacting with external and internal clients
  • Warm and helpful manner with the ability to build strong relationships with team members

Required Qualifications

  • Associate or Bachelor’s degree
  • 3+ years’ proven experience as an Executive or Administrative Assistant supporting senior level individuals in a professional services organization, advertising/creative agency ideal
